How to reduce no-shows at a gym, studio or salon

Deposits, reminders, waiting lists and fair cancellation rules: what works, in what order, and how an app applies it without awkward conversations.

The short answerNo-shows drop when turning up is easy, cancelling is easy, and not turning up has a fair cost. In practice: a reminder a couple of hours before, a one-tap way to cancel, a waiting list that refills the place, and clear rules such as a deposit, a used credit or a late fee. An app applies all of this the same way for everyone, so nobody at the desk has to chase.

Why people do not turn up

  • They forgot. The booking was made days ago.
  • Plans changed and cancelling felt like more effort than not coming.
  • Nothing happens if they do not come, so the booking feels optional.

Each reason has its own fix. Start with the first two, which cost nothing and annoy nobody.

1. Remind them at the right time

A notification a couple of hours before a class or appointment works better than an e-mail the day before. Include the time, the place and a button to cancel. For appointments booked weeks ahead, add a reminder the day before as well.

2. Make cancelling easier than not coming

It sounds backwards, but an easy cancel button is one of the best tools against no-shows. A cancelled place can be given to someone else; a no-show cannot. Put the cancel button in the reminder and on the booking.

3. Refill the place automatically

A waiting list turns a cancellation into a booking. When a place frees up, the next person is offered it, with a short time to accept, then the next. For full classes, this is where most of the lost places come back.

4. Give the booking a fair cost

BusinessWhat usually works
Gyms and studios with classesA credit used for a no-show or a late cancellation, inside a clear window
Reformer Pilates and small classesA late cancellation window, and a fee for repeat no-shows
Salons and barbersA deposit at booking, deducted from the final bill
ClinicsA card on file and a cancellation fee after a set time
RestaurantsA deposit for larger tables and busy evenings

Write the rule where people book, apply it the same way for everyone, and allow one exception at your discretion. Fair rules applied by an app feel less personal than a member of staff asking for a fee.

5. Watch the repeat cases

A small number of clients often account for many of the no-shows. A dashboard that shows who missed what lets you have a friendly word, or ask them for a deposit next time.

How an app does it for you

An app of your own sends the reminders, offers the place to the waiting list, takes the deposit and applies your rules, without anyone at the desk. See it for gyms and studios, Pilates studios, salons and barbers and clinics.

Questions

Rarely, when they are small, explained at booking and deducted from the final bill. Regulars with a good record can be exempt.

A couple of hours before for classes, and the day before plus a couple of hours before for appointments booked far in advance.

Less so, if a waiting list can refill the place. Set your late window to the time it realistically takes to fill a place again.
